Frequently Asked Questions

Please reach us at (609)222-4176 or colibri@colibrinotary.com, if you cannot find an answer to your question.

A Notary Public is a public officer appointed by the government to witness the signing of documents and to certify their authenticity. They are responsible for verifying the identity of those signing documents, ensuring that all parties involved understand what they are signing, and authenticating signatures on legal documents.

Notaries also provide protection against fraud by providing an impartial third-party witness to transactions. As such, they play an important role in public services by preventing fraud and protecting the rights of individuals involved in legal transactions.

A Certified Notary Trust Delivery Agent (CNTDA), or Certified Trust Delivery Agent (CTDA), is a professional who specializes in delivering estate planning documents, such as trusts, to clients and guiding them through the proper execution of these documents. This role typically involves ensuring that trust documents are correctly signed and notarized.

A Remote Online Notary (RON) is a traditionally-commissioned Notary who uses electronic signature, identity verification, audio-visual and other record-keeping technologies to notarize your documents online/virtually. These notarizations take place from the comfort and convenience of your home, office or cell phone.

Like a traditional, paper-based notarization, a well-executed RON act is legally admissible and lets you to avoid the inconveniences of notarizing in person - saving you time, energy and gas.

Remote online notarizations (RONs) take far less time than traditional notarizations since the whole act is performed online. From the moment the signer logs on to the RON platform, to the time when the Notary saves an audio-visual recording at the end, the entire notarization can take just a few minutes.

For General Notary Work, expect a straightforward session to last no more than 5-10 minutes.

Virtually any document can be notarized. However, exceptions are vital records such as a birth, marriage and death certificates. Notaries can't make or certify copies of these records. You must go to the government agency that issued the certificate to get copies.

As the signer, you must tell the Notary what type of notarization you need. Notaries can describe what the primary notarial acts are, but they cannot recommend one over another. It's illegal for a Notary Public to give advice like this unless they are also a licensed attorney.

Generally, notarizations come in three basic types:

  • Acknowledgments — The purpose of an acknowledgment is to declare that you have willingly signed a document.
  • Jurats — The purpose of a jurat is for you to swear or affirm that the contents of the document are true.
  • Copy Certifications — The purpose of a certified copy is to have the Notary confirm that the copy is an exact match of the original. This is not allowed in all states.

If you're not sure what kind of notarization you need, contact the document drafter or receiving agency to confirm what notarial act they require before you visit the Notary. If in doubt, you may contact a lawyer for guidance.

When preparing for a notarization, double-check that you have all essential items for the process to go smoothly. Here is what you'll need to bring with you when getting something notarized:

  • The completed document you wish to notarize
  • Valid government-issued photo ID
  • Any other individuals (with proper ID) who will be signing the document
  • Payment for notarial services

Yes. If you've recently changed your legal name due to marriage, divorce or other reasons, be sure that the ID you bring to the notarization matches your name shown on the document.

If there's a significant discrepancy — for example, your married name appearing on the document is "Mary Smith-Williams" but your ID contains your maiden name of "Mary Smith" — then the Notary will not be able to proceed with the notarization unless you can provide an alternate form of acceptable identification that matches the name on the document.

Yes.  A signer must meet face-to-face with a Notary in order to have their signature notarized. Be sure that any person whose signature needs notarization is available and can attend your appointment with the Notary Public.

The most commonly used and accepted forms of identification are:

 1. Driver License
2. Nondriver ID card issued by MVC
3. Passport
4. US Military ID
5. Resident Alien Card

Please note Social Security and Medicare cards, credit cards and birth certificates are not considered reliable forms of ID. Reliable forms of ID should include a photograph, physical description and signature, and they should be current.
